Job Description : Person hired for this position will be responsible for supervise and performed transactions as needed of the following processes: checking and approving the travel expense report, handle credit card administration tasks with reference to the Global T&E policy, a country’s travel expense policy, credit card policy, shopping carts creation and others related to Global travel & Expense and Shopping Carts process. Also, this person will have to maintain all the metrics and processes in a good shape.

Main Responsibilities:

  • Check and approve highly complex travel expense pending exception from Concur in accordance with the travel expense policy of the country.
  • Primary contact point from employees in term of inquiries for travel expense reimbursement.
  • Follow up with employees on failed expense payment, potential duplicate expense claims and multiple expense reports.
  • Responsible for completeness, accuracy and timeliness of expense report check, and follow up issues
  • Ensure the performance meets KPIs and continuously improve productivity and service quality
  • Act as Primary Corporate Credit Card Administrator on behalf of all countries in scope.
  • Conduct Airfare Reconciliation
  • Conduct weekly posting validation and provide weekly report.
  • Ensure compliance to 3M Financial Standard, SOX and other regulations
  • Engage in ad-hoc activities such as internal/external audit, tax audit, etc.
  • Participate in projects, T&E, Facilities & Admin Services & Division Engineering related deployments
  • Conducts T&E roadshows and other site-wide or department wide information drive related to travel and expense policy.
  • Serve as next level user support for any T&E policy questions and inquiries as well as user support (Concur and Citibank) that are highly complex and may involve some decision making of some sort or close coordination with APLs/GPLs and other key business stakeholders.
  • Initiate and lead stakeholder meetings for purposes of operational cadence, process changes/improvements and issue management
  • Manage and provide resolution for any escalated issues relating but not limited to credit card administrations, expense reporting, t&e standards, CTA administration among others and also for FAS & Div. Eng.
  • Create value add reports and data insights to country stakeholders that will drive efficient corp card usage and compliance to global travel and expense policies.
  • Coordinate with 3rd party vendors like BCD, Citibank and Concur for any issues or concerns that are highly complex in nature and may require extensive experience, individual reasoning and research to resolve.
  • Leads and coaches team members during a project/train or mentor new members within the functional area. May provide input of performance from other team members.
  • Actively participates in relevant corporate programs/initiatives, complies with professional and quality standards, complies with corporate policies and procedures, and acts in a manner consistent with 3M’s values and ethical standards

Main requirements:

  • Bachelor's degree or higher from an accredited university or 4-5 years of equivalent work experience in Travel and Expense, Finance or related field.
  • Financial accounting and internal control knowledge
  • Experience in Concur Travel Expense Report related work
  • Experience in Shared Service Center for multi-national corporation
  • Experience leading teams
